Digitising a work record book in Ukraine

ONE PLUS helps Ukrainian citizens digitise a work record book end to end. We register an electronic signature, scan the documents, prepare applications and submit them to the Pension Fund of Ukraine in line with current requirements.

Ukraine continues to move to electronic work record books. Information about employment and insurance service is gradually transferred into the electronic register of the Pension Fund of Ukraine. Documents for digitisation must be submitted by 10 June 2026.

Why digitising a work record book matters

After the data is moved into the electronic system, service information will be used to calculate a pension, confirm work experience and check insurance periods. If records are missing or contain errors, this may affect the pension amount and how long the pension application takes.

In practice many people face problems because of unreadable entries, missing pages, or mistakes in the surname or dates. That is why it is wise to check the documents early and submit them to the electronic system.

Which documents may be needed

To submit an application you usually need:

  • the work record book;
  • a passport or ID card;
  • RNOKPP (tax identification number);
  • a military ID or military registration certificate;
  • diplomas or education documents;
  • documents on a name change or maternity / parental leave.

Every page of the work record book must be scanned in full, including blank pages and inserts.

How document submission works

Submission goes through the Pension Fund of Ukraine portal using a qualified electronic signature (QES), Diia.Pidpys or BankID. After authorisation, document scans are uploaded, an application is created and sent to the PFU system.

After filing, the Pension Fund reviews the documents. Depending on system load and the volume of papers, the check may take from several weeks to several months.

Common mistakes when digitising a work record book

The most frequent problems are:

  • not all pages were uploaded;
  • poor scan quality;
  • errors in dates, surname or stamps;
  • missing supporting documents;
  • duplicated employment service.

If the Pension Fund finds mistakes, it may request extra documents or reject the application until the inaccuracies are fixed.

Digitising a work record book for citizens abroad

Ukrainian citizens living outside the country can also complete the procedure remotely. Personal presence in Ukraine is not required to submit the documents.

ONE PLUS supports clients at every stage and helps prepare documents correctly for filing in the Pension Fund of Ukraine electronic system. If your case also needs related certificates from Ukraine or Poland, we can help with an apostille and sworn translation.

Do not leave digitisation of the work record book until the last moment. Errors in documents, missing entries or problems confirming service can significantly delay the Pension Fund review.

ONE PLUS helps you complete the procedure quickly, accurately and without unnecessary bureaucracy — no matter which country you live in. During legal advice we can review your situation and agree on the next steps.

Digitising your employment record book by 10.06.2026 — Poland context

The 10 June 2026 deadline concerns entries in Ukraine’s PFU pension fund. Even if you live in Wrocław or elsewhere in Poland, those records affect pensions and service certificates. ONE PLUS with Tatiana Vyborna — a document specialist since 2015 — helps you file remotely and track status.

You usually need clear scans of the book, an electronic signature and access to your PFU account. We explain the step order and check readability before filing — fixes after the deadline are often harder.

How we connect it with Polish legalisation

If you are also handling Polish paperwork, we link digitisation with a sworn translation, an apostille, a residence card or PESEL — so you are not stuck in two separate queues. We support clients across Poland, not only in Lower Silesia.

In consultation we explain what to scan, how to sign and how to track the application. We do not guarantee a PFU decision, but we give a plan that reduces rejection risk from poor scan quality.

Book via contact

If the 10 June 2026 deadline is approaching, write via ONE PLUS contact or book legal advice. We will check whether your book qualifies for digitisation and what else to close on the Polish side.
