A police clearance certificate in Poland may be required for certain jobs, professional licences, visa procedures and applications submitted to public authorities. In Poland, the official criminal record database is the Krajowy Rejestr Karny, commonly known as the KRK. A certificate issued from this register confirms whether information about a person appears in the Polish National Criminal Register.

What Is a Police Clearance Certificate in Poland?

The document commonly called a police clearance certificate is officially issued by the Krajowy Rejestr Karny, which translates as the National Criminal Register.

Its formal Polish name is Informacja o osobie. You may also hear it described as a KRK certificate, certificate of no criminal record, criminal record certificate or zaświadczenie o niekaralności.

Despite the English name, the certificate is not issued by the Polish police. It is issued by the National Criminal Register, which operates under the Ministry of Justice.

A KRK certificate confirms whether the register contains information about a particular person. The register includes more than final criminal convictions. Depending on the scope of the inquiry, it may also contain information about certain pending measures, conditional discontinuance of proceedings, arrest warrants and other matters recorded under Polish law.

Polish and Foreign Police Clearance Certificates

A Polish KRK certificate and a foreign police clearance certificate do not always provide the same information.

The KRK shows information held in the Polish National Criminal Register. A certificate from another country shows information available in that country’s criminal record system.

For example, a US citizen may be asked to provide an FBI Identity History Summary. A British citizen may need an ACRO Police Certificate, while an Indian citizen may be required to obtain a Police Clearance Certificate, commonly known as a PCC.

The authority or employer requesting the document should specify which country must issue it. Do not assume that you always need certificates from Poland, your country of citizenship and every country where you have lived.

The rule concerning countries of residence during the previous 20 years applies particularly to people taking up work or volunteer activities involving children. It is not a general requirement for every visa, residence permit or job in Poland.

A foreign police clearance certificate may need an apostille or consular legalisation and a sworn translation into Polish. The exact requirements depend on the issuing country, the purpose of the document and any international agreements that apply.

Poland’s Sex Offender Registry

The Polish Sex Offender Register is separate from the National Criminal Register. Its Polish name is Rejestr Sprawców Przestępstw na Tle Seksualnym, or RPS.

The system includes a public register, a restricted-access register and a separate register maintained in connection with decisions of the State Commission for the Protection of Minors.

The public section can be searched online. Access to the restricted register is available only to authorised users and institutions.

When a person is employed or allowed to participate in activities involving the education, care, treatment, recreation, psychological support, spiritual development or sporting activities of minors, the employer or organiser must perform the checks required by Polish child protection law.

The RPS check does not replace a KRK certificate. Depending on the person’s citizenship and residence history, the employer may also need a Polish criminal record certificate and information from foreign criminal registers.

When Is Police Clearance Required in Poland?

A Polish police clearance certificate is not automatically required for every foreign national, visa application or residence permit.

Whether you need one depends on the specific procedure, profession and written requirements of the receiving authority.

National Visa

A Polish consulate may request a criminal record certificate when reviewing a national visa application. This is not a universal attachment for every Type D visa. The requirement depends on the purpose of travel, the applicant’s circumstances and the consulate processing the application.

Always follow the checklist and any additional request issued by the relevant Polish consulate.

Temporary Residence Permit

A KRK certificate is not a standard mandatory document for every temporary residence permit or karta pobytu application.

The voivodeship office carries out its own public order and security checks. However, the inspector may request additional documents or explanations if they are relevant to the individual case.

If you receive an official request for a police clearance certificate during your residence proceedings, check which country should issue it, how recent it must be and whether it requires legalisation and a sworn translation.

Permanent Residence and EU Long-Term Residence

The required documents depend on the legal basis of the application. A police clearance certificate from Poland or another country should be obtained if it appears on the official checklist or is requested by the inspector.

Do not assume that both Polish and foreign certificates are always mandatory. Requirements may differ depending on the applicant’s residence history and individual circumstances.

Polish Citizenship

Teachers and School Staff

These requirements apply not only to full-time teachers. They may also cover tutors, sports instructors, camp staff, volunteers and other people whose duties involve regular contact with children.

Childcare and Youth Activities

Nurseries, childcare providers, summer camps, youth organisations and sports clubs must verify people who will be responsible for minors.

The scope of the check depends on the person’s citizenship and residence history. A standard Polish KRK certificate alone may not be sufficient.

Healthcare and Regulated Professions

A criminal record certificate may be required for certain healthcare positions, especially where the work involves minors or a regulated professional licence.

Requirements for lawyers, tax advisers, accountants, financial professionals and other regulated occupations depend on the legislation governing the specific profession.

Not every employee in healthcare, finance or the legal sector is automatically required to provide a KRK certificate. The employer or licensing authority should identify the relevant legal basis.

Public Sector Positions

Certain public sector positions require candidates to satisfy statutory good-character or clean-record conditions. The scope of the check depends on the role and the applicable legislation.

Companies participating in public procurement may also be asked to provide criminal record information concerning specific representatives or members of their governing bodies.

How to Get a Polish Police Clearance Certificate

A Polish police clearance certificate can be obtained in person, online, by mail or through an authorised representative.

Applying in Person

You can submit an application at the National Criminal Register Information Bureau in Warsaw or at an authorised KRK information point, usually located in a Polish court.

You need to complete the form called Zapytanie o udzielenie informacji o osobie, present a valid passport or identity document and pay the official fee of PLN 30.

In straightforward cases, the paper KRK certificate is often issued during the visit. If additional checks are required, the official processing period may be extended to a maximum of seven days.

The paper certificate is usually the best choice if you need an original document, apostille, sworn translation or international delivery.

Applying Online Through e-KRK

You can apply online through the e-KRK platform if you have a Polish Trusted Profile, known as Profil Zaufany, or a qualified electronic signature.

The official fee for an electronic police clearance certificate is PLN 20.

The certificate is issued as a digitally signed XML file. This XML file is the original document. A printed copy is not an official certificate.

The electronic version can be useful if the employer or authority has the technical ability to open the file and verify the electronic signature. In practice, not every organisation accepts this format.

According to the National Criminal Register, electronic applications are processed within the applicable official processing period, and temporary technical issues may cause delays.

If you need to use the certificate abroad or obtain an apostille, order the paper version instead.

Applying by Mail

You can send a completed and signed application to the National Criminal Register Information Bureau or an authorised KRK information point.

The application should include proof of payment of the PLN 30 fee. The office issues the certificate within seven days after receiving a complete application, but you must also allow time for postal delivery.

Applying by mail is useful if you are unable to visit a court, although it is generally slower than applying in person.

Applying Through a Representative

You can authorise another person in Poland to submit the application and collect the certificate on your behalf.

The power of attorney should clearly state that the representative is authorised to apply for and receive information from the National Criminal Register. A PLN 17 stamp duty generally applies, although powers of attorney granted to certain close family members are exempt.

The representative does not always have to be a licensed attorney. Polish rules allow an application to be submitted by an authorised representative acting under a correctly prepared written power of attorney.

Police Clearance for EU Citizens

If you are a citizen of another EU member state, obtaining a KRK certificate may take longer.

When an EU citizen applies for information from the Polish National Criminal Register, the person’s details are also checked in the criminal register of their country of citizenship through the European Criminal Records Information System, known as ECRIS.

The final processing time may therefore depend on how quickly the foreign authority responds. This can make the procedure longer than a standard Polish-only search.

Criminal Record Checks for Work with Children

Since 15 February 2024, stricter verification rules have applied to people who will work or volunteer in activities involving minors.

Before allowing a person to begin such work, the employer or organiser may need to check the restricted RPS register and obtain the relevant criminal record information.

A person who is not a Polish citizen must generally provide information from the criminal register of their country of citizenship for professional or volunteer activities involving children.

If the person has lived in other countries during the previous 20 years, information from the relevant criminal registers may also be required. Where a particular country does not maintain such a register or does not issue the required document, a declaration may be accepted under the conditions provided by law.

These obligations apply to activities involving education, childcare, recreation, treatment, psychological support, spiritual development, sports and other interests pursued by minors. The official rules are explained by the Polish Ministry of Justice.

Police Clearance Fees in Poland

The official KRK fees in 2026 are:

A certificate may be issued free of charge to a volunteer applying to work as a supervisor or manager at a children’s holiday camp, provided that the required letter from the organiser is attached.

The power of attorney stamp duty does not apply when the representative is the applicant’s spouse, parent, grandparent, child, grandchild or sibling.

How Long Is a KRK Certificate Valid?

A Polish police clearance certificate does not have a fixed statutory expiry date.

The institution requesting the document decides how recent it must be. Many employers and authorities prefer a certificate issued within the previous three months, but this is not a universal rule that applies to every procedure.

Before ordering a new KRK certificate, check the requirements of the employer, consulate, voivodeship office or licensing body that will receive it.

Do not assume that every certificate older than 90 days will automatically be rejected. At the same time, avoid ordering the document too early if the receiving institution requires a recently issued certificate.

Can the Same KRK Certificate Be Used More Than Once?

The same certificate may be accepted for more than one procedure if it is still considered current and the receiving institution accepts the format provided.

Some authorities or employers may require the original paper document. If you submit the original, you may not be able to reuse it elsewhere.

Where several institutions need the certificate, confirm in advance whether they will accept a copy, electronic verification or a separately issued original.

Apostille and Translation

A paper KRK certificate may require an apostille if it will be used outside Poland. The requirement depends on the destination country and the institution receiving the document.

An electronic XML certificate and its printout cannot be apostilled. If you need an apostille, you should order the original paper version.

A foreign police clearance certificate submitted in Poland may also require an apostille or consular legalisation. However, authentication is not mandatory in every case. International agreements may remove this requirement.

A document issued in a foreign language will usually need to be translated into Polish by a sworn translator. If an apostille is required, it is normally practical to arrange the translation after the apostille has been attached.

Common Police Clearance Mistakes

One of the most common mistakes is ordering an electronic KRK certificate when the receiving institution expects a paper original. The electronic XML file may be valid, but its printout is not an official document and cannot receive an apostille.

Another frequent problem is submitting a foreign certificate without checking whether it requires legalisation and a sworn translation. Requirements differ by country, so they should always be confirmed before submission.

Applicants also order certificates too early because they assume that every institution applies the same three-month rule. In reality, the acceptable age of the certificate is determined by the authority or employer requesting it.

Regional and institutional practices may differ. Always follow the current written requirements of the specific office, consulate, employer or licensing authority handling your case.
