What the invitation does and what it cannot do
Role at the consulate
After registration, the invitation appears in the Polish register of invitations (rejestr zaproszeń). Consular officers use it as evidence of ties to Poland, visit purpose and the host's ability to cover costs. For family visits or stays beyond a simple tourist trip, a registered invitation is often essential.
Schengen visa type C and national visa type D follow different rules, but the host must always prove legal stay in Poland, adequate income and suitable accommodation.
Invitation vs oświadczenie vs seasonal certificate
Colloquially people say "work invitation". Short-term employment of nationals of selected countries is based on an oświadczenie (employer's statement via praca.gov.pl and the district labour office). Seasonal work uses a zaświadczenie. A private visit requires guest zaproszenie registered at the office Wojewódzki, not an employment oświadczenie. Mixing purposes across forms is a common reason for refusal.
Who is allowed to invite a foreign guest
Polish and EU residents
A Polish citizen, or a citizen of another EU, EEA or Swiss state legally residing in Poland, may apply for a guest invitation. Required items include ID, proof of address, proof of means and the guest's passport copy plus relationship or visit purpose details.
Foreigners with a stable status
A foreigner holding permanent residence, EU long-term resident status, or more than five years of uninterrupted legal stay in Poland may also invite relatives or close contacts. A temporary residence card, visa stay or visa-free entry alone does not grant this right.
When the province may refuse registration
Outstanding fines for migration offences, previous guests who breached visa conditions, inconsistent income or housing data. Accurate preparation reduces the risk at this stage.
Host documentation checklist
Identity and legal stay
- Polish ID or passport (Polish nationals);
- residence card, EU long-term resident card or other proof of legal stay (foreign hosts);
- registration of address (address registration), lease, property deed or landlord consent.
Income and housing
The province assesses whether the host can support the guest:
- bank statements for the last 3-6 months;
- employment contract, income certificate, tax return or business declaration;
- housing proof: registered lease, ownership, written consent of co-tenants or owner.
Floor area and number of occupants may be reviewed when judging whether the guest can be accommodated for the declared period.
Guest details
Passport copy, planned dates, visit purpose, civil status documents for family ties (birth or marriage certificates with sworn translation if needed). Minors often require parental consent and travel arrangements.
Registration process in 2026
Filing at the province offices
The application is submitted to the office Wojewódzki competent for the host's registered address. Personal attendance is required unless a notarial power of attorney is provided. Processing time varies by region. Once registered, the invitation remains valid for up to 12 months.
Official guidance on residence matters is published by the Office for Foreigners (UDSC). Consular practice is described by the Ministry of Foreign Affairs.
What the visa applicant submits abroad
The guest files the application locally: form, photos, travel insurance, proof of purpose, invitation reference, employment or study proof at home, finances. The consul reviews the full file. A valid invitation does not override weak personal documentation.

Applicant profile issues
Refusal remains possible when:
- no stable job or study in the country of residence;
- bank history shows irregular or insufficient funds;
- previous visa breaches or unexplained refusals;
- stated purpose conflicts with documents (e.g. tourism narrative with a family invitation but no credible link).
Host-side weaknesses
Address mismatch, expired documents, income below consular expectations, no physical space for the guest. Some posts verify by phone call to the host.
Avoidable mistakes

Different stages and authorities
The invitation supports a visa application before travel. A residence card (residence permit) is applied for in Poland on grounds such as work, study or family reunification. A guest invitation alone is not a residence ground, although a family visit may be the first step in planning further legalisation.
Two-step scenarios
A relative may enter on a guest visa and later apply for temporary residence through family reunification if statutory conditions are met. These are separate cases with different evidence. We clarify which stage applies to avoid filing the wrong procedure.
