Replacement documents from Ukraine for use in Poland
ONE PLUS helps people living in Wrocław and across Poland obtain replacement documents from Ukraine. We first confirm what the receiving authority actually requires, check the available record details and determine whether a representative can handle the request. We also assess translation, apostille and delivery requirements before the order begins.
The service is useful when an original has been lost, damaged, left in Ukraine or issued in a format that is no longer accepted for a particular procedure. Depending on the case, we can coordinate a reissued civil status certificate, registry extract or archival confirmation, followed by an apostille, sworn translation in Poland and delivery.
What “duplicate document” means in practice
People often search for a duplicate birth certificate or marriage certificate. The official result may instead be described as a reissued certificate, an extract from a state register or an archival certificate. These documents contain different information and are not automatically interchangeable.
Before filing a request, it is helpful to share the letter or checklist issued by the Polish office, court, university or employer. We match that wording with the document that can be obtained from Ukraine. This prevents a common problem: receiving a genuine document that does not meet the purpose of the Polish procedure.
When a new document may be needed
- the original is missing, damaged or not available in Poland;
- the document is difficult to read, laminated or issued in an outdated format;
- it is required for a residence permit, citizenship or family reunification case;
- it will be used for marriage registration, inheritance, court or notarial work;
- it must confirm family links, a name change or civil status;
- the receiving authority asks for a recent registry extract or a specific set of details.
A fresh document is not always necessary simply because the existing one is old. We check the destination and purpose first, so the client does not pay for a document or certification that will not be used.
Documents we can help obtain
- a reissued Ukrainian birth certificate;
- a reissued marriage certificate;
- evidence or a registry extract confirming divorce;
- a reissued death certificate;
- an extract from the Ukrainian civil status register;
- a Ukrainian criminal record certificate;
- an archival certificate or another official confirmation;
- confirmation of the details of a Ukrainian driving licence.
Access to civil records is restricted. A request concerning another person may require evidence of family relationship, legal interest or valid authority to act. We review this point before any application is prepared.
What the ONE PLUS service includes
- We identify the purpose, country and institution that will receive the document.
- We review the available record details and the applicant’s right to obtain it.
- We explain whether a power of attorney is needed and in what form.
- We agree the scope, expected costs and sequence of work.
- We coordinate the request with the relevant authority or archive.
- Where necessary, we arrange apostille, sworn translation and delivery.
If the review reveals a different spelling of a name, a missing electronic record or a need for archival research, we explain the extra step before it is started. This gives the client control over time and cost.
Does a Ukrainian document need an apostille in Poland?
Not every Ukrainian official document used in Poland requires an apostille. Poland and Ukraine have a bilateral legal assistance agreement under which official documents may be recognised without further legalisation. Acceptance still depends on the type of document, its intended use and the requirements of the receiving authority.
Different rules may apply if the document is intended for another country. We therefore verify the destination before recommending an apostille. Adding it automatically can create an unnecessary cost and delay.
Sworn translation for a Polish authority
An exemption from legalisation does not remove the language requirement. Polish authorities commonly expect a foreign document to be accompanied by a translation prepared by a Polish sworn translator. A standard commercial translation may not be sufficient for an administrative, court or registration procedure.
Before translation, names, dates and place names should be compared with the passport and other records. If Ukrainian and Latin spellings differ, the translator needs the relevant reference documents. In some cases an additional certificate or evidence of a name change will be required.
Information needed for an initial assessment
- the full name of the person concerned;
- the date and place of birth, marriage, divorce or death;
- any previous surname;
- the approximate year and place where the event was registered;
- a scan, photograph or reference number of the old document, if available;
- the country, institution and procedure for which it is needed;
- the preferred delivery location.
Originals are not usually needed for the initial review. Clear copies and accurate record details are enough to determine the likely route and identify missing information.
How long the process takes
There is no single processing time for every document. A record available in an electronic register is usually more straightforward than an older record requiring archival research. The location and year of registration, quality of the available details, power of attorney, apostille, translation and international delivery all affect timing.
After reviewing the case, we provide a realistic estimate and separate the stages controlled by public authorities, archives or couriers. We do not promise the same deadline for every request.
How the cost is calculated
The cost depends on the type and number of documents, the search required, official fees, the form of authorisation, apostille, translation and delivery. The client receives an agreed scope before work starts.
If an unexpected issue is discovered, such as inconsistent personal details or a record held by a different archive, we explain the next step and its cost first. No additional service is added simply to make the package larger.
Cases that require extra checking
Different spellings of a name
Ukrainian, Polish and passport spellings may not match. We identify the source of the difference and explain what can connect the records, such as a name change document, another registry extract or a carefully prepared translation.
Older or archival records
Records created many years ago may exist only on paper or in a regional archive. Access can also be limited for records connected with particular territories. In these cases, availability and alternatives must be assessed individually, without guaranteeing an outcome controlled by an authority.
Documents for a residence case
If a replacement certificate forms part of an immigration application, we can also review the remaining papers for a Polish residence permit. This helps identify inconsistencies before the application reaches the office.
How we handle the request
- You describe the situation and share the copies or details you have.
- We identify the correct document and confirm the available procedure.
- We agree the scope, cost and realistic sequence of work.
- We coordinate the request and report material updates.
- If required, we arrange apostille and sworn translation.
- The finished documents are collected in Wrocław or sent to the agreed address.

Support in Wrocław and throughout Poland
ONE PLUS has an office in Wrocław, but many organisational steps can be handled remotely. We assist clients in Warsaw, Kraków, Poznań, Gdańsk and other locations in Poland, as well as people living abroad. Personal attendance is needed only where the procedure or form of authorisation requires it.
If you are unsure which document to request, send us the authority’s letter or a photograph of the document you already have. We will explain the available routes in plain language and suggest a practical sequence without unnecessary formalities.
