Can You Apostille an Electronic Police Certificate from Poland?
The short answer is no. An electronic Polish police clearance certificate issued through the e-KRK system cannot be apostilled. If you need the document for immigration, employment, citizenship, education or another official procedure abroad, you should obtain the original paper certificate from the National Criminal Register (Krajowy Rejestr Karny, KRK).
The electronic certificate is issued as a digitally signed XML file and may be accepted for certain procedures in Poland. In practice, however, many institutions cannot verify this format, and a printed copy is not considered an original document.

Electronic Police Certificate in Poland
An electronic Polish police clearance certificate is issued through the e-KRK platform as an XML file. It is signed electronically by an authorised employee of the National Criminal Register and does not require a traditional stamp.
The original XML file is the actual document. A PDF preview, screenshot or paper printout does not have the same status.
According to the Polish National Criminal Register, the electronic certificate must be stored and presented in its original XML format. The official guidance also clearly states that a printout is not a document.
This creates a practical problem. Even when an electronic certificate is legally valid, the person reviewing it must know how to open the file, verify the electronic signature and confirm that the document has not been modified.
In practice, many employers, banks, professional organisations, immigration authorities and other institutions are not prepared to complete this verification. Some organisations accept only paper originals as part of their internal procedures.
This is why the electronic KRK certificate is better treated as a specialised digital document rather than a universal replacement for the traditional paper certificate.
Is an Electronic KRK Certificate Accepted in Poland?
An electronic KRK certificate may be accepted in Poland if the receiving institution agrees to receive the original XML file and has the technical ability to verify the electronic signature.
This may work in certain online procedures, internal compliance processes or communication between institutions that regularly handle electronically signed documents. However, acceptance should never be assumed.
In practice, applicants often encounter one of the following problems:
- the institution requests a paper original;
- the employee does not know how to verify an XML file;
- the online system allows only PDF or JPG attachments;
- the institution accepts a printout but later questions its authenticity;
- the certificate is required for use abroad and must have an apostille.
Before ordering an electronic certificate, ask the receiving institution whether it accepts the original XML file and whether it can verify a Polish certified electronic signature.
If the answer is unclear, the paper certificate is normally the safer choice.
Can a Printed Electronic Certificate Be Apostilled?
No. Printing an electronic KRK certificate does not turn it into a paper original.
The printout is only a visual representation of the electronic file. It does not contain an original signature or an official seal that can be authenticated by the Polish Ministry of Foreign Affairs.
The Polish Ministry of Foreign Affairs confirms that an apostille cannot be issued for a photocopy or a printout of an electronic police clearance certificate.
There is also no procedure for converting an electronic certificate into an apostille-ready paper original. If you already have an electronic certificate and later discover that an apostille is required, you will need to apply for a new certificate in paper form.
Which Police Certificate Can Be Apostilled?
To obtain an apostille, you need an original paper police clearance certificate issued by the National Criminal Register.
The certificate can be obtained from the KRK Information Bureau or from an authorised KRK information point operating at a Polish district or regional court.
Once the original paper certificate has been issued, it can be submitted to the Polish Ministry of Foreign Affairs for an apostille. The apostille confirms the authenticity of the official signature and the capacity in which the person signing the certificate acted.
For international use, the safest sequence is:
- Check the requirements of the receiving authority.
- Obtain the original paper KRK certificate.
- Apply for an apostille if required.
- Arrange a sworn or certified translation.
- Send the completed documents to the destination country.
The order of these steps can matter. In most cases, the translation should be completed after the apostille has been attached so that both the certificate and the apostille can be translated together.
Do You Always Need an Apostille?
Not every Polish police clearance certificate requires an apostille. The answer depends on the destination country, the receiving institution and the purpose for which the certificate will be used.
An apostille is normally used when a Polish public document is submitted in another country that is a party to the Hague Apostille Convention.
If the destination country is not a party to the Convention, the document may require consular legalisation instead of an apostille.
In some cases, an authority in another EU country may not be allowed to require an apostille for a document confirming the absence of a criminal record. However, this does not mean that every institution in the European Union will automatically accept an electronic XML certificate.
The exemption from an apostille and acceptance of the document’s format are two separate questions. An institution may not require an apostille but may still request the original paper certificate or a multilingual standard form.
It is therefore important to verify:
- whether the authority requires an apostille;
- whether it accepts an electronic certificate;
- whether a paper original is necessary;
- whether the certificate requires a sworn translation;
- how recently the certificate must have been issued.
Many authorities require a police clearance certificate issued within the previous three or six months.

The institution rejects the printout because it is not an original document. If an apostille is also required, the applicant cannot simply add one to the existing certificate. A new paper certificate must be ordered, collected and submitted for apostille.
This can delay a visa application, employment procedure, residence case, professional registration or citizenship application.
