Vehicle Power of Attorney

Preparing a power of attorney for vehicle sale or registration when the owner cannot personally appear before a notary or traffic department in Poland

Vehicle power of attorney with a Polish notary in Wrocław

ONE PLUS prepares vehicle powers of attorney in Wrocław for selling or buying a car, registration and deregistration, collecting documents or plates, exporting a vehicle and acting through a representative in Poland or abroad. We draft the document for the actual transaction, vehicle and destination country rather than using one generic template.

A useful vehicle POA depends on precise information. We check the owner’s and representative’s details, VIN, registration number, intended powers and the authorities or institutions that will receive the document.

The ONE PLUS team works with different types of powers of attorney and documents for foreign clients every day. Our practical expertise in this area has been developing since 2015. This helps us identify common problems before signing: vague authority, a missing transaction power, incorrect vehicle details or failure to account for the destination country’s requirements.

A Polish notary attends at the ONE PLUS office in Wrocław. Where the information and draft have been agreed in advance, the notarial stage of a straightforward case usually takes around 15 minutes.

If the document will be used outside Poland, we recommend checking the receiving institution’s requirements in advance and considering an apostille. ONE PLUS can coordinate Apostille Services in Poland and document translation.

When is a vehicle power of attorney useful?

Selling a car through a representative

An owner can authorise another person to sign the sale agreement, hand over the vehicle and documents and complete related administrative steps.

Before drafting, we establish whether the representative only needs to sign the contract or must also collect the sale proceeds, deregister the vehicle, transfer documents or deal with customs and other authorities.

Buying a vehicle

A POA can also cover signing the purchase agreement, acting within defined limits, making payment, collecting the car and documents and completing registration.

Vehicle registration in Poland

Many Polish vehicle-registration matters can be handled through a representative. A notarial POA is not automatically required for every administrative step.

Where the same document is also intended for a sale, broader control of the vehicle or foreign use, we consider the form and scope required for the complete process.

Deregistration, documents and registration plates

The representative can be authorised to file applications, collect or return registration documents and plates and carry out other steps permitted by the relevant procedure.

Exporting a vehicle from Poland

A simple right to use the vehicle may be insufficient where the representative must also deal with registration, export documents, transfer of the car or customs formalities.

How we draft the POA

Owner and representative details

We check personal information and how the relevant details appear in identity documents.

Vehicle identification

For a POA concerning a specific car, we normally use the make and model, VIN, registration number and any additional information required by the procedure.

The actual authority required

Our main question is: what must the representative actually do?

This determines whether the POA needs to cover a sale, purchase, contract signature, registration, deregistration, collection of plates, customs matters, receipt of money or dealings with a particular authority.

Does a vehicle POA have to be notarised?

Not every vehicle-related matter in Poland requires a notarial power of attorney.

Polish registration matters

Many administrative procedures allow representation under a written POA. The correct form depends on the particular procedure.

Sale and broader authority

Where the representative will conclude a transaction, collect funds or carry out several connected steps, the wording and form should be considered for the complete transaction.

Use outside Poland

A foreign notary, registration office, customs authority or other institution may have its own requirements for notarisation, apostille, translation and wording.

A cross-border vehicle POA should therefore be prepared for the destination rather than copied from a simple Polish administrative authorisation.

Vehicle POA for use in Ukraine

A common ONE PLUS scenario involves an owner living in Poland while a vehicle must be sold, registered, deregistered or otherwise handled through a representative in Ukraine.

Check the Ukrainian requirements first

If a Ukrainian notary, service centre, customs representative or other institution has supplied a template or list of required powers, send it before the draft is prepared.

Apostille

For POAs intended for foreign use, ONE PLUS recommends considering an apostille in advance.

At the same time, Poland and Ukraine have a bilateral legal-assistance treaty under which official documents are recognised without legalisation. For Ukraine, the receiving institution’s requirements should therefore be checked first. If an apostille is requested or appropriate for the planned use, ONE PLUS can coordinate the procedure.

An apostille is issued by the competent public authority. ONE PLUS coordinates obtaining it; we do not issue apostilles ourselves.

See Apostille Services in Poland.

Translation

Translation requirements depend on the receiving institution. Where required, ONE PLUS can coordinate document translation.

Vehicle POA for another country

Tell us the destination country

The destination can materially change the form and wording required.

Send instructions from the receiving authority

A template or checklist from the foreign notary, registration office or other institution is valuable when preparing the Polish document.

Apostille, legalisation and translation

Before signing, we check whether additional authentication or translation is likely to be required. For many POAs intended for international use, we recommend considering an apostille before the document is sent abroad.

What powers can be included?

Depending on the case, the representative may be authorised to:

– sell or purchase the vehicle; – sign a sale or purchase agreement; – collect or hand over the car; – file applications; – register or deregister the vehicle; – collect or return registration plates; – collect registration documents; – act before public authorities; – carry out customs-related formalities; – deal with export documentation; – receive sale proceeds where the owner deliberately grants that authority; – perform other specifically identified acts.

We do not add every possible power automatically. The scope should reflect the owner’s actual intention.

Why an online template may not be enough

The vehicle is not identified precisely

Where the POA relates to a specific vehicle, missing or inaccurate VIN details can create avoidable questions.

The required transaction power is missing

A generic right to “represent my interests” may not adequately address signing a sale agreement, receiving money or completing customs formalities.

The destination country was ignored

A document for a Polish registration office and a POA for a foreign notary serve different practical purposes.

Apostille and translation were considered too late

For international use, these issues are better checked before the notarial appointment.

What information do we need?

We normally ask for:

  • the owner’s identity document;
  • accurate representative details;
  • vehicle make and model;
  • VIN;
  • registration number;
  • vehicle documents where relevant;
  • destination country;
  • a description of the representative’s tasks;
  • any template or instructions supplied by the receiving institution.

The vehicle has not been purchased yet

Tell us in advance. A POA to purchase a future vehicle is structured differently from authority concerning a specific car with a known VIN.

The vehicle has co-owners

Co-ownership can affect both the transaction and administrative procedure, so it should be disclosed before drafting.

How the ONE PLUS process works

Step 1. We establish the objective

We identify the vehicle, representative, destination and intended actions.

Step 2. We check the information

We verify the personal and vehicle details used in the draft.

Step 3. We prepare the wording

The powers are drafted for the actual task and the client receives the project for review.

Step 4. We arrange notarial signing

A Polish notary attends at the ONE PLUS office in Wrocław.

Step 5. We coordinate apostille and translation

For foreign use, we discuss the next documentary steps before the POA is sent abroad.

How long does signing take?

With complete information and an agreed draft, the notarial stage of a standard POA usually takes around 15 minutes.

A complex scope, coordination with a foreign institution, apostille and translation require additional time.

Frequently Asked Questions

Can I arrange a vehicle power of attorney in Wrocław?

Yes. ONE PLUS prepares the document for the specific vehicle and intended purpose and arranges signing before a Polish notary at our Wrocław office. If the information and draft have been agreed in advance, the notarial stage of a straightforward case usually takes around 15 minutes.

What can a vehicle power of attorney cover?

A vehicle POA may cover selling or buying a car, registration and deregistration, collecting or returning registration plates, obtaining documents, exporting the vehicle, customs formalities and other specifically defined acts.

We draft the authority around what the representative actually needs to do rather than automatically inserting the broadest possible list of powers.

What vehicle details should be included?

For a POA concerning a specific vehicle, the document will normally identify the make, model, VIN and registration number, where one has already been issued. Registration-document details may also be required depending on the procedure.

The VIN is particularly important for identifying the vehicle precisely.

Can a representative sell my car without me being present?

Yes, where the representative has the necessary authority and the relevant procedure permits representation.

The POA should clearly address whether the representative may sign the sale agreement, hand over the vehicle and documents, collect the sale proceeds, deregister the vehicle and carry out other related acts.

Can I give someone a POA to buy a car for me?

Yes. The authority can cover purchasing a vehicle, signing the agreement, making payment, collecting the vehicle and documents and completing subsequent registration steps.

If the vehicle has not yet been selected and there is no known VIN, tell us before drafting because the document needs to be structured differently.

Does vehicle registration in Poland require a notarised POA?

Not in every case. Many Polish vehicle-registration matters can be handled by a representative under a written power of attorney.

If the same document will also be used to sell the vehicle, grant broader authority or operate abroad, the appropriate form and wording may be different.

Can I sign a vehicle POA in Wrocław for use in Ukraine?

Yes. The owner can sign the document in Poland while the representative carries out the relevant vehicle matters in Ukraine.

If a Ukrainian notary, service centre, customs representative or other receiving institution has supplied a template or list of required powers, send it before the draft is prepared.

Do you recommend an apostille for a vehicle POA used abroad?

For vehicle POAs intended for use outside Poland, ONE PLUS recommends considering an apostille in advance.

The final requirement depends on the destination country and the institution receiving the document. ONE PLUS can coordinate Apostille Services in Poland.

Does a Polish vehicle POA for Ukraine require an apostille?

Poland and Ukraine have a bilateral legal-assistance treaty under which official documents are recognised without legalisation. An apostille therefore should not be described as mandatory for every Polish POA used in Ukraine.

Even so, for a cross-border vehicle POA we recommend checking the receiving Ukrainian institution’s requirements and considering an apostille in advance. ONE PLUS can coordinate the apostille procedure where appropriate.

Does the vehicle POA need to be translated?

That depends on the destination country and the receiving institution. An appropriate official translation may be required for international use.

It is better to establish this before signing. ONE PLUS can coordinate document translation together with the other formalities.

What documents and information are needed?

We normally need the owner’s identity document, accurate representative details, vehicle make and model, VIN, registration number and vehicle documents where relevant.

We also need to know the destination country, exactly what the representative must do and whether the vehicle has any co-owners.

How long does the vehicle POA process take?

With complete information and an agreed draft, the notarial stage of a standard POA usually takes around 15 minutes.

A cross-border document may require additional time for wording approval, apostille and translation, so the destination country should be provided at the beginning.

I used their services when sorting out my residence permit. At first I had lots of questions, but during the consultation they explained everything. They checked the documents and explained where and what needed to be corrected.

If paperwork doesn't appeal to you, then I recommend their services. I submitted an application for a permanent residence card and in total 2 years and 9 months passed from receiving the card (you could say that's long, but considering all the events and the fact that it's permanent residence, you can understand that the waiting is fully justified). I have no complaints about the professionalism or the service. The documents are fine, nothing was lost. Thank you for the help!
