Visa invitation

We prepare the invitation package for a Schengen or national visa: verify the host's status, income and accommodation before registration at the province offices.

ONE PLUS helps clients prepare and register an invitation for a private visit to Poland. We first review the host’s residence status, income and accommodation, together with the guest’s details and the planned length of stay.

Our support includes a case-specific document list, a review of the application and attachments, and guidance on filing with the Voivodeship Office. Once the invitation is entered in the register, we explain what the guest should include in the visa application submitted to the consulate.

The client knows before filing whether this procedure fits the purpose of travel and which gaps need to be corrected. This reduces confusion between a private invitation and employment documents and helps avoid a repeat office visit caused by an incomplete file.

What the invitation does and what it cannot do

Role at the consulate

After registration, the invitation appears in the Polish register of invitations (rejestr zaproszeń). Consular officers use it as evidence of ties to Poland, visit purpose and the host’s ability to cover costs. For family visits or stays beyond a simple tourist trip, a registered invitation is often essential.

Schengen visa type C and national visa type D follow different rules, but the host must always prove legal stay in Poland, adequate income and suitable accommodation.

Invitation vs oświadczenie vs seasonal certificate

Colloquially people say “work invitation”. Short-term employment of nationals of selected countries is based on an oświadczenie (employer’s statement via praca.gov.pl and the district labour office). Seasonal work uses a zaświadczenie. A private visit requires guest zaproszenie registered by the Voivodeship Office, not an employment oświadczenie. Mixing purposes across forms is a common reason for refusal.

Who is allowed to invite a foreign guest

Polish and EU residents

A Polish citizen, or a citizen of another EU, EEA or Swiss state legally residing in Poland, may apply for a guest invitation. Required items include ID, proof of address, proof of means and the guest’s passport copy plus relationship or visit purpose details.

Foreigners with a stable status

A foreigner holding permanent residence, EU long-term resident status, or more than five years of uninterrupted legal stay in Poland may also invite relatives or close contacts. A temporary residence card, visa stay or visa-free entry alone does not grant this right.

When the voivodeship office may refuse registration

Outstanding fines for migration offences, previous guests who breached visa conditions, inconsistent income or housing data. Accurate preparation reduces the risk at this stage.

Host documentation checklist

  • Polish ID or passport (Polish nationals);
  • residence card, EU long-term resident card or other proof of legal stay (foreign hosts);
  • registration of address (address registration), lease, property deed or landlord consent.

Income and housing

The voivodeship office assesses whether the host can support the guest:

  • bank statements for the last 3-6 months;
  • employment contract, income certificate, tax return or business declaration;
  • housing proof: registered lease, ownership, written consent of co-tenants or owner.

Floor area and number of occupants may be reviewed when judging whether the guest can be accommodated for the declared period.

Guest details

Passport copy, planned dates, visit purpose, civil status documents for family ties (birth or marriage certificates with sworn translation if needed). Minors often require parental consent and travel arrangements.

Registration process in 2026

Filing at the voivodeship office

The application is submitted to the voivodeship office competent for the host’s registered address. Personal attendance is required unless a notarial power of attorney is provided. Processing time varies by region. Once registered, the invitation remains valid for up to 12 months.

Official guidance on residence matters is published by the Office for Foreigners (UDSC). Consular practice is described by the Ministry of Foreign Affairs.

What the visa applicant submits abroad

The guest files the application locally: form, photos, travel insurance, proof of purpose, invitation reference, employment or study proof at home, finances. The consul reviews the full file. A valid invitation does not override weak personal documentation.

Typical consular refusal reasons (separate from the voivodeship procedure)

Applicant profile issues

Refusal remains possible when:

  • no stable job or study in the country of residence;
  • bank history shows irregular or insufficient funds;
  • previous visa breaches or unexplained refusals;
  • stated purpose conflicts with documents (e.g. tourism narrative with a family invitation but no credible link).

Host-side weaknesses

Address mismatch, expired documents, income below consular expectations, no physical space for the guest. Some posts verify by phone call to the host.

Avoidable mistakes

Applying before registration is complete, outdated statements, non-sworn translations, wrong visa category (type C instead of D for stays over 90 days). ONE PLUS checks timelines and consistency before submission.

Invitation for a visa vs residence permit procedures

Different stages and authorities

The invitation supports a visa application before travel. A residence card (residence permit) is applied for in Poland on grounds such as work, study or family reunification. A guest invitation alone is not a residence ground, although a family visit may be the first step in planning further legalisation.

Two-step scenarios

A relative may enter on a guest visa and later apply for temporary residence through family reunification if statutory conditions are met. These are separate cases with different evidence. We clarify which stage applies to avoid filing the wrong procedure.

How ONE PLUS prepares the invitation package

Pre-filing review

We verify the host’s eligibility, income, housing documents, visa type and deadlines. We prepare powers of attorney, attend the filing at the voivodeship office where needed and track registry entry.

End-to-end support

  • document audit for the host;
  • submission to the office Wojewódzki;
  • transfer of registry details to the guest;
  • guidance on the consular package (insurance, employment letters, travel plan);
  • coordination with visa and residence services when required.

We work transparently with a defined scope and fee. A legally sound invitation reduces the risk of refusal at the voivodeship stage but does not guarantee a visa. Consular decisions are independent.

Frequently Asked Questions

Answers to common questions about the procedure, documents, and ONE PLUS support
Does the invitation guarantee a visa?

No. It confirms the host’s intent and capacity. The consulate grants or refuses the visa under Schengen or national rules.

How long is a guest invitation valid?

Up to 12 months from registration in rejestr zaproszeń.

Can a holder of a temporary residence card invite someone?

Not usually, unless they hold permanent residence, EU long-term resident status or five years of continuous legal stay.

Are sworn translations required?

Foreign-language documents generally require a translation prepared by a sworn translator (tłumacz przysięgły). The consulate may require the local language of the application country.

How is a guest invitation different from a work invitation?

Guest invitation: private visit and registration by the voivodeship office. Work: employer oświadczenie, work permit or work authorisation issued by the voivode.

Must the host appear in person?

A representative with notarial power of attorney may file, but underlying documents must relate to the host.

What if the consulate refuses?

Read the refusal letter, fix gaps, update the invitation if needed and reapply when appropriate.
