Information about the Pomorskie Urząd

The Pomorskie Voivodeship Office in Gdańsk actively serves foreign nationals, ensuring the legalization of their stay and issuing work permits. The office provides a wide range of administrative services, including the processing of residence cards, visas, work permits, and handles cases related to obtaining the Pole’s Card.

It is important to note, as we have previously mentioned in one of our blog posts, that the Pomorskie Voivodeship in recent years has faced serious internal challenges related to combating corruption and staff instability. Cases of detentions and official inspections among officials are regularly recorded, which negatively affects the timelines and quality of processing foreign nationals’ applications. Staff turnover, internal reorganization, and increased scrutiny from the prosecutor’s office all may impact the duration of the legalization process, even when documents are correctly submitted.

How to schedule an appointment at the Pomorskie Urząd?

Important information before submitting documents:

In the Pomorskie Voivodeship, as in all other regions of Poland, it is officially recommended to submit applications for foreigners’ stay legalization through the central electronic platform MOS: https://www.mos.cudzoziemcy.gov.pl.

This system is a unified state platform designed for registration, processing, and monitoring of foreigners’ applications regarding stay, work, citizenship, and other administrative procedures. It provides centralized management of all legalization cases and allows voivodeship administration authorities to efficiently track case statuses.

All applications submitted via MOS are automatically registered in the national system and sent to the appropriate urząd, eliminating errors, losses, and inconsistencies. To date, this is the most reliable and official method for document submission.

Passport departments in Gdańsk, Gdynia, and Słupsk accept applications and issue passports both to those with prior appointments and to walk-in applicants.

Due to a technical malfunction of the electronic queue terminal at the Passport Department in Słupsk, the possibility of online booking for visits is temporarily suspended until further notice.

(At the time of publication, 07/13/2025 — the online system of the Pomeranian Voivodeship does not offer the possibility of registering a date for applying for a residence card in Gdansk.)

The online booking system operates as follows:

  • New booking dates are opened two weeks in advance, from Monday to Friday.
  • Each day, after midnight and until the morning hours, one new day is added for booking. For example:
    – On April 23, booking opens for May 7,
    – On April 24, for May 8,
    – On April 25, for May 9, and so on.

If there are no available slots for a specific day, the calendar will be empty, and the next available dates will appear only the following day.

Bookings are only available for the next two weeks — the system does not allow reservations beyond this period, so no slots will be available in the calendar past this timeframe.

  • One phone number can only be used for a single registration. Please do not use the same phone number for multiple applications.

What to Pay Attention To?

  • Documents related to employment should be submitted exclusively via praca.gov.pl.
  • Avoid combining multiple cases in one letter—this can delay processing.
